Practice Now, LLC Privacy Policy
Updated: October 16, 2026
Introduction
We care about your privacy online, so here is relevant information regarding privacy on our website, www.practicenow.com, as owned and operated by Practice Now, LLC ("we," "us," or "our"). Our goal is to safeguard the privacy of all our visitors and users; to explain who we are and how and why we collect, store, use, and share personal information; and to explain your rights in relation to your personal information.
By using this website, you agree to the following Privacy Policy. Please read this policy carefully before using this website. This Policy applies to this website and any sites, mobile apps, or products that display or link to this Policy. It does not apply to any website, mobile app, service, or product that does not display or link to this Policy or that contains its own privacy policy.
Who We Are
This website is operated by Practice Now, LLC. Our website address is: https://practicenow.com.
Information We May Collect
We may collect information that you voluntarily provide through website forms, consultation requests, email links, scheduling tools, or other communication features on this site. This may include your name, email address, phone number, organization name, and any message or details you choose to submit.
The website may also automatically collect basic technical information, such as your IP address, browser type, device information, pages visited, referring website, campaign tags in the link you followed, date and time of visit, and other analytics information used to understand site performance and improve the website experience. See Cookies and Visit Tracking for details.
Emails from us. Emails we send, such as a guide you request or a reply to your consultation request, may include standard tracking that tells us whether a message was opened and which links were clicked. Most email apps let you block this by turning off automatic image loading.
No Patient or Health Information
This website is for medical practice leaders and other business visitors. It does not provide medical care, and Practice Now is not a healthcare provider to the people who visit it. Please do not submit patient information, protected health information (PHI), or details about your own or anyone else's health through our forms or emails. Our forms do not ask for health information, we do not intend to collect it through this website, and what you type into our forms is masked from our analytics tools. Before we review detailed practice data in an engagement, we put a business associate agreement (BAA) in place where one is required.
How We Use Information
Practice Now may use information collected through this website to:
- Respond to inquiries or consultation requests.
- Provide information about our services.
- Improve website content, performance, and user experience.
- Understand how visitors find and use the website.
- Protect the security and integrity of the website.
- Comply with applicable legal or business obligations.
Cookies and Visit Tracking
This website uses cookies, small text files stored in your browser, to understand how visitors find and use the site and to connect a consultation request with the pages a visitor viewed beforehand.
Some of these tools are run by outside companies, named below. While they are active, your browser sends those companies information about how you use our pages as you use them, such as the pages you view, where you click and scroll, and details about your device and browser. We use these companies to measure and improve the site, and each handles the information under its own terms and privacy statement. These tools run only after you select Accept in our cookie notice. By selecting Accept, you consent to Practice Now and these companies collecting, recording, and receiving this information as described in this policy. You can withdraw your consent at any time, as described in Your Cookie Choices.
- Practice Now visit cookie (pn_visit). Set by this website and kept for up to 1 year. It records when you first and last visited, how many visits you have made, the page you first landed on, the site that referred you, any campaign tags in the link you followed (such as utm_source or utm_campaign), the click identifier added to the link if you arrived from an ad (such as Google's gclid, Microsoft's msclkid or LinkedIn's li_fat_id), and the last 25 pages you viewed on this site. It does not contain your name or contact details. If you submit a consultation request, these visit details, and the type of device you used (desktop, mobile or tablet), may be sent with your request so we can understand what you read before contacting us and which campaign brought you to us.
- HubSpot cookies. We use HubSpot, Inc. as our customer relationship management (CRM) system. HubSpot's tracking code sets cookies, including hubspotutk and __hstc (kept for about 6 months) and shorter session cookies, that record page views and visits. When you submit a form, HubSpot links that browsing history to the contact record created from your submission, and the information you submit is stored in HubSpot.
- Google Analytics cookies. We use Google Analytics, a service provided by Google LLC, to measure site traffic and how pages are used. Before page addresses are sent to Google Analytics, we remove everything after the address except campaign tags. Google Analytics sets cookies, such as _ga (kept for up to 2 years), that collect information like the pages you visit, how long you stay, your general location, your device and browser, and how you arrived at the site. We do not send your name, email, or other contact details to Google Analytics, and we have turned off Google's advertising features for this site. To learn how Google uses this data, see How Google uses information from sites or apps that use its services.
- Microsoft Clarity. We use Microsoft Clarity, a service provided by Microsoft Corporation, to see how visitors use our pages, through heatmaps and session recordings. A session recording captures your mouse movements, clicks, scrolling, and the pages you view, so we can replay a visit to see where a page works well and where visitors get stuck. Clarity sets cookies, such as _clck (kept for up to 1 year) and _clsk (kept for one day). Everything typed into forms on this site is masked, so Clarity does not record what you enter, and we do not use Clarity to collect health, financial, or other sensitive information. Microsoft may use the data it collects as described in the Microsoft Privacy Statement.
- Cookie choice cookie (pn_consent). Set by this website and kept for up to 1 year. It records whether you accepted or declined analytics cookies, whether the choice came from our cookie notice or your browser's Global Privacy Control signal, the version of this policy that applied, and when you made the choice. If you submit a consultation request, this record is sent with it and kept in HubSpot.
- Scheduling calendar. After you send a consultation request, our Contact page offers a booking calendar provided by HubSpot Meetings. It loads only at that point, receives the name and email you entered so you don't have to type them again, and may set HubSpot's own cookies.
- Advertising and social media pixels. We do not use the Meta (Facebook) Pixel, the TikTok Pixel, or other advertising or social media pixels on this site, and we do not share your activity on this site with social media companies. If we add advertising tools, we will update this policy first, and our cookie notice will say so.
Your Cookie Choices
When you first visit, a cookie notice asks for your permission. The Practice Now visit cookie, HubSpot tracking, Google Analytics, and Microsoft Clarity do not run until you select Accept. If you select Decline, or make no choice, none of them run, and we delete the analytics cookies we can reach. You can change your choice at any time with the Cookie settings link at the bottom of every page.
We treat a Global Privacy Control (GPC) signal from your browser as a choice to decline analytics cookies. We do not sell personal information, and we do not use cookies on this site for targeted advertising.
You can block or delete cookies in your browser settings, and you can opt out of Google Analytics with the Google Analytics opt-out browser add-on. Blocking cookies may affect how some features of the website work.
Embedded Content From Other Websites
Briefs or pages on this site may include embedded content, such as videos, images, articles, forms, maps, or social media features. Embedded content from other websites behaves in the same way as if the visitor had visited the other website directly.
These third-party websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction if you have an account and are logged in to that third-party website.
Who We Share Your Data With
Practice Now does not sell personal information submitted through this website. We share information with trusted service providers who help us operate the website, respond to inquiries, manage scheduling, review analytics, protect the website, or provide business services. These include HubSpot, which stores the information you submit through our forms along with your visit history on this site, Google Analytics, which receives website usage data but not your name or contact details, and Microsoft Clarity, which receives page interaction data with form entries masked.
We may also disclose information if required to do so by law, regulation, legal process, or a reasonable business need to protect our rights, property, users, clients, or website security.
How Long We Retain Your Data
We retain information only as long as reasonably necessary for the purposes described in this policy, unless a longer retention period is required or permitted by law.
Information you submit through our forms is kept in HubSpot for as long as it is needed to respond to you and manage our business relationship, unless you ask us to delete it. The Practice Now visit cookie expires after 1 year, HubSpot tracking cookies after about 6 months, Google Analytics cookies after up to 2 years, and Microsoft Clarity cookies after up to 1 year. Google Analytics keeps the event data it collects for 14 months.
What Rights You Have Over Your Data
Depending on your location and applicable law, you may have the right to request access to, correction of, deletion of, or restriction of certain personal information we maintain about you.
You may request a copy of the personal information we hold about you, including information you submitted through our forms. You may also request that we erase personal information we hold about you, except for information we are required to keep for administrative, legal, or security purposes.
Where Your Data Is Sent
Information submitted through our forms is sent to and stored by HubSpot. When you request a guide or a consultation, we email you through Microsoft 365, and our team is notified through our internal messaging tool (Slack). Website usage data is processed by Google Analytics and Microsoft Clarity. This website is hosted by Hostinger, whose servers record standard technical information, such as IP addresses, when pages are requested. Information submitted through scheduling tools or other website services may be processed by third-party providers that support the operation of this website. These providers may store data on servers in the United States or other countries.
Your California Privacy Rights
We apply California's privacy standards to every visitor, wherever you live. This section is our notice at collection under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (together, the CCPA).
What we collect and why. In the last 12 months we have collected these categories of personal information, for the purposes described in How We Use Information:
- Identifiers and contact details, such as your name, email address, phone number, and the cookie and device identifiers described in Cookies and Visit Tracking. Source: you, and your browser.
- Professional information, such as your organization, job title, role, and the practice details you choose to share. Source: you.
- Internet and website activity, such as pages viewed, links clicked, session recordings, the site that referred you, and campaign tags. Source: your browser, only after you select Accept.
- General location, such as the city or region derived from your IP address. Source: your browser.
We do not collect sensitive personal information as the CCPA defines it, and we ask you not to send us health information (see No Patient or Health Information). We keep each category only as long as described in How Long We Retain Your Data.
No selling or sharing. We do not sell personal information, and we do not share it for cross-context behavioral advertising, as the CCPA uses those terms. We have not done either in the last 12 months. We do not knowingly sell or share the personal information of anyone under 16. The companies that help us run the site act as our service providers.
Your rights. You have the right to know what personal information we collect, use and disclose; to get a copy of it; to correct it; and to have it deleted, subject to exceptions the law allows. You may also opt out of any future selling or sharing, and we honor Global Privacy Control signals as that opt-out. We will not treat you differently for using these rights.
How to make a request. Email legal@practicenow.com, or use the contact form, and tell us which right you want to use. We will confirm your request within 10 business days and respond within 45 days. To protect your information, we will verify your request by matching the email address you give with the one we hold. You may use an authorized agent, who must show your written permission.
California wiretap and recording laws. Our analytics tools, including session recordings, run only after you select Accept, and they record how you use our pages as described in Cookies and Visit Tracking. Selecting Accept is your consent to that recording. If you do not consent, select Decline and none of them run.
"Shine the Light." We do not disclose personal information to third parties for their own direct marketing.
Security
Practice Now uses reasonable administrative, technical, and organizational measures to help protect information submitted through the website. However, no website, internet transmission, or electronic storage method can be guaranteed to be completely secure.
Children's Privacy
This website is intended for business and professional audiences. Practice Now does not knowingly collect personal information from children under 13. If we become aware that information has been submitted by a child under 13, we will take reasonable steps to delete it.
Changes to This Privacy Policy
Practice Now may update this Privacy Policy from time to time. Updates will be posted on this page with a revised "Last updated" date. Continued use of the website after changes are posted means you accept the updated policy.

Disputes, Arbitration, and Class Action Waiver
Please read this section carefully. It affects how any dispute between you and Practice Now is resolved.
Talk to us first. If you have a concern about this website or how we handle your information, email us at legal@practicenow.com (or use the contact form) and describe the issue. We will try to resolve it informally within 60 days, and neither of us will start an arbitration or lawsuit before then.
Individual arbitration. Any dispute or claim arising out of or relating to this website, these Terms of Use, or our Privacy Policy will be resolved by binding arbitration on an individual basis, rather than in court. This includes claims about cookies, analytics, session recordings, or other tracking technologies, and claims under privacy, wiretapping, eavesdropping, or consumer protection laws. The arbitration will be administered by the American Arbitration Association (AAA) under its rules then in effect, and fees will be paid as those rules provide. It will take place in Maricopa County, Arizona, or by video conference. The Federal Arbitration Act governs this section. Either of us may instead bring an individual claim in small claims court if it qualifies.
Many similar claims. If 25 or more similar claims are brought against Practice Now by or with the help of the same or coordinated lawyers, they will be administered under the AAA's Mass Arbitration Supplementary Rules, and may be decided in batches.
No class actions. You and Practice Now each agree to bring claims only on an individual basis, and not as a plaintiff or class member in any class, collective, consolidated, or representative action. The arbitrator may not combine more than one person's claims. If this waiver is found unenforceable for a particular claim, that claim will be decided by a court, not in arbitration.
Your right to opt out. You can opt out of this arbitration agreement within 30 days after you first agree to these terms, for example by submitting a form on this site. To opt out, send a written notice to legal@practicenow.com (or through the contact form) that includes your name, the email address you used, and a statement that you opt out of arbitration. We will confirm your opt-out by email. Opting out does not affect any other part of these terms.
Time limit. To the extent the law allows, any claim relating to this website must be brought within one year after it arises, or it is permanently barred.
Courts. Any claim that is not arbitrated will be brought only in the state or federal courts located in Maricopa County, Arizona, and you and Practice Now consent to those courts' jurisdiction.
Changes to this section. If we change this section, the change will not apply to a dispute you have already told us about.
Governing Law
These Terms of Use are governed by the laws of the State of Arizona, without regard to conflict of law principles.
